Conference Badges & Lanyards
Badges:
● Coordinate with marketing when they need to pull attendee list from RegFox and print off paper badges. Badges must have attendee first and last name and company name. This should be started 2 weeks before the conference start date.
● Start to assort badges by alphabetical order.
● Attach appropriate speaker and/or sponsor ribbons to designated attendees.
● 1 week before conference, check for any newly registered attendees and print off badges for them
● Export full registrant data report from RegFox. Make sure to include full name, company name and coupon code in the report.
○ Have another staff member read off every name, company name and coupon code from this list while one person goes through each badge and makes sure the appropriate spelling and company name are on the badge, as well as the appropriate ribbon (sponsor, speaker, etc.) is on the badge.
○ Pack badges in alphabetical order in clear shoe box totes and double rubber band them for safe shipping.
○ Also, pack extra blank paper badges with conference logo, extra speaker/sponsor ribbons and extra clear badge holders (for any new registrant attendees that occur during travel and first day of conference)
Lanyards:
● Must order customized lanyards 2 months before the conference for regular pricing and shipping! If ordered too close to the conference date, the prices for rush order and 2-day shipping is extremely expensive!
● Order lanyards from www.4imprint.com/display
● Speak with the Sales Team 2-3 months before Conference date and ask them if they have a lanyard Sponsor or if not that they can coordinate one.
