Reprints & Additional Copies
Overview of the SOP - Instructions on how to handle reprint requests and requests for additional copies.
The Publisher and Circulation
Reprint requests are worked with both Circulation and the Publisher.
Circulation will get a quote for the article reprint and the Publisher will research with the sales staff to determine costs for the reprint.
The publisher will determine if there is a fee on top of the quote or if the reprint will be complimentary.
PDFs are sent only if part of the contract and they paid for it.
When there is an editorial mistake - corrections made immediately on the digital version and in the next issue a correction is printed.
If the client made a mistake - depending on the mistake- it may be corrected before the article is reprinted.
No changes can be made to the content. Can change formatting i.e. adding their logo at the top or printing only ½ the page.
Full magazines are not an option for reprint because it is cost prohibitive to reprint. Printers do not reprint in batches less than 5000.
1-50 copies
For advertisers to get additional copies BEFORE the order is placed - there is NO extra charge as the request can be placed directly on the printer’s order. They can request a subscription for the length of their contract.
For advertisers to get additional copies AFTER the order is placed:
Circulation will set aside the required # of magazines to ensure there is the required quantity before an invoice is sent.
An invoice will be issued from QB by the accounting dept.
Once payment is received then accounting will inform circulation to mail the magazines.
Sales staff have the ability to fulfill the request for their accounts. If they mail them to the account there is no charge to the account.
Postage can be submitted for reimbursement or the sales can get the USPS account information from accounting to send the magazines on the charge account.
Fee for additional copies as of 2023:
For Advertisers within the US:

For non-advertisers within the US:
For any international - each is $6 (must check shipping cost to ensure that this amount will cover not only shipping but handling also)
For more than 50 copies
Do we have availability?
If yes - are we sure this won’t short us for any other outstanding requests?
If not - check with Printer to see if they have any on the floor.
Printers usually don’t do reprints of a magazine in quantities less than 5000. It is cost prohibitive to reprint magazines.
NEVER SEND PDF’S OF MAGAZINE UNLESS THE PUBLISHER GIVES SPECIFIED PERMISSION!!!
